About the Engagement
Every engagement follows the same four-stage structure: discovery, inventory, analysis, and action plan delivery. The discovery stage involves structured conversations and document review. The inventory stage produces a complete map of your operational spending. Analysis identifies opportunities. The final stage is a written action plan and a walkthrough session.
The duration varies by scope — a Technology Stack Review typically takes two to three weeks, while a Complete Operational Audit may take four to six weeks depending on the complexity of the business.
We typically request access to billing records and bank statements covering the past twelve months, any existing supplier contracts or service agreements, and a list of tools and software currently in use. Where possible, access to usage dashboards within software platforms is also helpful.
All information shared with Mitromo is treated as confidential and handled under a non-disclosure agreement signed before the engagement begins.
The discovery stage requires the most direct involvement — typically two to four hours of structured conversation with the business owner or operations lead. After that, the analysis work is conducted by Mitromo independently. There may be occasional follow-up questions by email during the analysis phase.
The closing walkthrough session is typically one to two hours. Total time commitment from your team across a full engagement is generally six to ten hours.
No. Mitromo's role is analysis and planning, not implementation. The action plan is written specifically so that it can be executed by your team without specialist assistance. Each step is described in concrete, specific terms.
If a particular step requires external specialist input — for example, legal review of a contract clause — we note this in the plan. But the plan itself does not require ongoing engagement with Mitromo to act on.
Scope and Suitability
Mitromo works with small businesses — typically those with between five and fifty employees. The engagements are designed for businesses that have operational spending complexity but do not have a dedicated finance or procurement function to manage it.
Businesses with fewer than five employees may find the engagement less relevant simply because the spending landscape is smaller. Larger businesses with dedicated finance teams are better served by specialist procurement consultancies.
Mitromo has conducted engagements across professional services, retail, hospitality, creative agencies, and technology businesses. The analytical methodology applies across sectors because the underlying pattern — accumulated operational costs without structured review — is consistent.
Sector-specific context matters for supplier contract analysis. We gather this context during the discovery stage.
Accountants typically review financial records for compliance and tax purposes. They rarely conduct detailed operational spending analysis — mapping individual subscriptions against usage, assessing supplier contract terms, or identifying functional overlap between tools.

Practical Details
Most of the work is conducted remotely. The discovery session and closing walkthrough can be held via video call or in person at our London office, depending on your preference and location. Document sharing and interim communication happens via secure channels agreed at the outset.
The first step is an initial conversation — typically thirty minutes — in which we discuss your business, your current operational setup, and whether a Mitromo engagement is appropriate for your situation. There is no commitment involved in this conversation.
If we agree to proceed, we outline the scope, timeline, and terms in a brief engagement letter. Work begins after that document is signed.
